Privacy Policy
This policy explains how Golden Kidz Daycare handles your personal information and your rights under UK data protection law.

1. Who we are
Golden Kidz Daycare Ltd (“we”, “us”, “our”) is the data controller for the personal information described in this policy. We are an Ofsted-registered day nursery.

2. The information we collect
Through this website we only collect enough information to contact you about a place. We do not ask for health, medical or funding information online. Everything sensitive is collected on paper, in person, when you visit us.
Depending on how you interact with us, we may collect:
- Enquiries (website): your name, phone number, email, your child’s age and any message you send us through our contact form.
- Registrations (website): your child’s name, date of birth and home postcode; parent and carer names, mobile numbers and email addresses; the sessions and start date you would like; and any note you choose to add.
- Admission pack (in person, on paper): when we meet you for a settling-in visit we complete the full admission record. This includes your home address, emergency contacts, authorised collectors and the agreed collection password, your child’s GP, allergies, dietary requirements, medical conditions, medication and immunisation information, and your photo, outings and medication permissions. Where required for funded childcare or pupil premium checks, it also includes funding information and a parent or guardian’s National Insurance number. Where you choose to tell us, it may include your child’s ethnicity and religion.
- CCTV images: if you visit our premises, our closed-circuit television (CCTV) cameras may record images of you for safeguarding and security.
- Website usage: if you consent, analytics information about how you use our website (see our Cookie Policy).
3. How we use your information and our lawful basis
- To provide childcare and manage your child’s place (performance of our contract with you).
- To respond to enquiries and arrange tours (our legitimate interest in answering you, or steps before a contract).
- To keep children safe and meet our duties as an early years provider, including safeguarding and Ofsted requirements (legal obligation).
- To carry out funding and eligibility checks, including where we process a National Insurance number (legal obligation and performance of our contract).
- To operate CCTV for the safety and security of children, staff, visitors and our premises (our legitimate interests, and our safeguarding duties where relevant).
- Website analytics: only where you have given consent through our cookie banner.
4. Special category and children’s data
Some of the information we collect is “special category” data (such as health, ethnicity or religion) and much of it relates to children.
For essential health, allergy, dietary, safeguarding and emergency-care information, we process this where it is necessary to provide childcare safely, to meet our legal and safeguarding duties, and to provide health or social care support. Where we use special category data for optional purposes, such as marketing photographs, we ask for your explicit consent.
Because we care for children, we treat children’s information with extra protection and always consider the child’s best interests when we collect, use, store or share their information. We collect only what we need and limit access to staff who need it.
We do not collect special category data through this website. Health, allergy, medication, dietary, GP, ethnicity and religion information is recorded only on the paper admission pack, which we complete with you in person and keep securely at the nursery. This means your child’s most sensitive information is never transmitted over the internet or held in an inbox.
5. Photographs and marketing
We may take photographs or videos of children for internal nursery purposes, such as learning journals, development records, displays and parent updates.
We will only use a child’s image for external advertising, our website, social media or promotional material where a parent or guardian has given clear consent. You may withdraw photo or marketing consent at any time by contacting us.
6. CCTV
We operate CCTV at the nursery to help keep children, staff and visitors safe and to protect our premises. Cameras are positioned for safeguarding and security, and signs are displayed to let people know that CCTV is in use.
Our lawful basis is our legitimate interests in the safety and security of the setting, together with our safeguarding duties as an early years provider where relevant. Footage is stored securely, access is limited to authorised staff, and it is normally overwritten automatically after around 30 days unless it is needed for a safeguarding, security, insurance or legal matter. We may share footage with the police, Ofsted, your local authority or other safeguarding partners where it is necessary and lawful to do so.
7. Who we share it with
We do not sell your information. We may share it with:
- Ofsted and your local authority, where we are required to.
- Health, education and safeguarding professionals where it is necessary to keep a child safe or to support their development, and, other than in a safeguarding situation, with your knowledge.
- Our service providers who help us run the nursery and this website (for example our website host and email provider), under contracts that require them to protect your information.
8. How we store and protect it
The strongest protection we apply is not collecting sensitive information online in the first place. What you send through this website — your contact details and your child’s name, date of birth and postcode — is encrypted in transit (HTTPS) and delivered over a secure connection to the nursery’s own mailbox, which is protected with a strong password and access is limited to authorised staff.
The admission pack, which holds the sensitive information, is completed on paper and kept in a locked cabinet at the nursery. Electronic records are kept securely with access limited to authorised staff. Our website and processors store data within the UK or the European Economic Area, or under equivalent safeguards.
9. How long we keep it
We keep information only for as long as we need it. The table below explains our approach. You can ask us about specific retention periods at any time.

10. Your rights
Under UK data protection law you have the right to:
- access the information we hold about you;
- ask us to correct or complete inaccurate information;
- ask us to erase information, or restrict or object to how we use it;
- ask for your information to be transferred to another organisation;
- withdraw consent at any time, where we rely on consent.

11. Complaints

12. Changes to this policy
We may update this policy from time to time. The date at the top shows when it was last reviewed.
